Some Meetings Sneak Up On You

As last week came to an end I finally got around to looking at the calendar for the following month. After filling in a few other plans I surveyed my schedule which is when I realized how quickly the next stated meeting was approaching… I really don’t like it when the stated meeting is on the first of the month. So, after a long summer respite, I found myself behind on preparations for the lodge. To say that I kicked things into overdrive would be an understatement as the notice was yet to be completed, the minutes were in shambles, and the bill summaries had yet to be completed.

Fortunately or unfortunately, I have been in this situation many times before and getting some of these things done quickly has become a somewhat regular occurrence. So, first thing on the list was to get the notice done. I know where to look for all of the information and the messages are pretty cut and dry so this was completed quickly.

Since there was little time to spare I had to forego my usual submission to Staples so the printer at the office was working overtime. Address labels were next which just take time even when working at a fast pace. Stuffing everything made for a long night but it was finally done. Of course, the completion of the notice also coincided with updating both online databases. Yes, we are still dealing with this issue.

The minutes and bill summaries are simply a matter of recording all of the notifications and occurrences which are then put into a specific format. While it takes a little time making sure that everything is done correctly, it is a rather painless process that can be accomplished quickly. By the time the weekend had descended upon us, all of the necessary items were either completed or updated. Last night, a few more updates were made and a call-em-all was scheduled. All caught up… for now.

Now it is simply a matter of pulling together the other materials that I need for the meeting and making sure that everything is ready and in order for when I have to speak to the brethren. All the petitions, communications, and various other pieces of paper are ready to go. All that remains is to reconnect with many of the brethren tomorrow night and beginning planning for the October stated meeting. After all, I don’t want to find myself in the same position next month!

Changes Still Pending

Another month has already passed and I am finding myself in a slightly better situation than before the last stated meeting. The notice is just about done and should be out in a day or two, the minutes will be completed by the end of the week, and various communications have already been taken care of. Of course, there are always the lingering items, emails, and letters that will surely persist up until the moment we all converge upon the lodge but that is just part of the routine.

However, there is a pattern that has carried over from the summer. One that I am not too happy about and will have to be addressed again. The bills remain unpaid and checks still need to be drafted. We didn’t have a full roster of officers at the last stated which prevented us from taking care of these essential items in a timely manner and now, later in the month, our schedules are completely out of sync and the communication which we rely so heavily upon has dwindled.

There are moments when I really don’t know what else to do. Time is something that I have very little of and the lack of consistency from month to month is wreaking havoc on my calendar. After a long day at the office I just want to get home and spend time with my wife and son. This is why I have all of my meetings at the lodge and other gatherings scheduled well in advance. It would be one thing to have our meetings on some other consistent night during the month but the jumping from block to block on the calendar is not something that works for me.

We have addressed this exact issue in the past, several times actually, and have put forth a plan to get things done on time but, as of today, there is no change. It won’t be long before I once again have to field numerous calls from the brethren regarding this issue. It may seem like a minor glitch to some and it was at first but not it is a major problem and one that has at time had me seriously considering stepping down at the end of the year. The only things that have stopped me have been the encouragement of other brothers and the simple fact that there are many more aspects of this office that I enjoy compared to those that bother me.

Hopefully the next few days / weeks / months will bring about a change for the better and those fleeting thoughts will fly away (at least for an extended period of time). I guess we will just have to continue waiting and see what happens… hopefully my phone doesn’t start ringing again. In the meantime, there is just over a week to go before the next stated meeting and I have a job to do.   

Taking A Few Minutes Before Preparing For The Next Meeting

Today I am taking some time to relax and only making a couple of calls and sending a few emails. It is a day when I am able to enjoy what my lodge was able to accomplish last night by reading the overly gracious notes from the district deputy and my fellow brothers from the lodge. All the work came to fruition and the results were far beyond any expectations I ever thought of placing on the meeting. It truly was a great night.  

The night that we had been preparing and scrambling for over the past couple of months finally came and went without a hiccup during the evening. While we had a few setbacks during the weeks leading up to the district visitation and I had to take on a few more duties than I had planned on doing, the brethren came together and made last night a success. Being the first such meeting since becoming Secretary (the last visitation was my first meeting as a mason) I was incredibly nervous but over the past year I have come to find that even when things don’t go to plan we all come together as a lodge to make things happen. There has been no clearer example than that of last night’s meeting.

I spent the morning finishing up and revising the minutes and the rest of the day getting some projects done for the office (nice relaxing day off) before getting on a conference call in the early afternoon. After a quick shower and trips to Staples and the post office, I got to the lodge just before 4:00pm with a number of things that I had to do to prepare. While I knew exactly what I had to do, time seemed to be spinning around the clock faster than any other day that I could remember.

While I was able to greet a few brothers as they walked through the door and spoke to a few brothers as I helped to carry in the meal for the night, I didn’t really have much time to converse. Throughout the day, with brethren scattering about the building, I climbed and descended more stairs than I had in the past few weeks combined. Before the meeting ever started I was already beginning to tire. Of course, not having time to eat dinner didn’t help the situation either. After a few last minute scrambles, the meeting was set to begin.

Much like the earlier passing of the day, the meeting was a blur but thankfully I was prepared for every moment with copies of every piece of paper, document, and record needed. Additionally, the shirt that my cousin took care of for me was received with both great surprise and appreciation (mainly because it was something that would be used and not another mug or keychain). There were many moments to remember and ones that I will forever be proud to have been a part of.

However, the moments that will stand out for me or the rest of my life are the moments during the meeting when my fellow brothers took the floor and made speeches during which they thanked me for what I had done for them. While those moments were greatly appreciated and I am glad I could help in some small way the credit should really go to the lodge for what we have accomplished and to those individual brothers for putting forth the effort to ensure their recent success and recognition. It was certainly a night to remember and a night they we can all take pride in being members of this fraternity and of our lodge.

The Extras Are What Get You…

As you know, my days are full of work and other activities which translates to more work. With this schedule occupying most days of the week, sometimes the smallest addition can throw the entire calendar off kilter. What’s worse is when other things are put on my schedule that require me to either work from home or take the day off.

Lately, as you have read, much of this has been caused by issues in the apartment and the attempted wrangling of management and maintenance. While I am not the one that has had to actually fix the problem it has been a constant time suck over the past two and a half weeks with 5 minutes here and 20 minutes there. This of course is on top of the fact that it has put my wife and me in less than pleasant moods.

While it may seem like an odd time of year, taxes are also messing with the little time I have to relax as I have to submit local, state, and federal tax forms all stemming from the work that I do at the lodge. Keep in mind that the forms are not by choice but rather the quarterly schedule is required by each. Can’t wait until the end of the year when there is an additional stack of forms that needs to be filled out. Yay!

However, next week will be the biggest waste of time for the year as I must report for jury duty. Yes, I am most likely have to burn one of my vacation days driving to the court house in Norristown and sit in a room until they realize that they really don’t want me on a jury. This is after burning a little pocket of productive time filling out the questionnaire online this week.

Of course, the last gripe may be moot as I was honest in my responses on said questionnaire and unless their objective is to specifically waste my time and their own I should be dismissed rather quickly and that is if I have to show up at all. I really don’t want to burn a vacation day for this crap! But, for now, next week has a big steaming pile filling up my Thursday and all I can hope for is that the apartment will be done by then so that I am not returning to a three week cluster. One can only hope.

Running Around: Work, PACT, And Lodge

Normally the first Thursday of every month is pretty hectic for me as I am scrambling to take care of all the last minute items and preparing for the stated meeting immediately after work. Last week was crazier than usual as my usual work day consisted of a fair amount of running around to different places as well as jumping from one project to another… I was still trying to play catch up from the previous month. However, the week didn’t start off this way. In fact, it looked like it was going to be a pretty calm stretch with plenty of time to get everything done for the lodge well in advance of the meeting.

Well, that didn’t happen and I really should have anticipated the onslaught. The week began with the usual barrage of things that I needed to add to my list. By Thursday morning my schedule was completely turned on its head. I woke up on Thursday with my back deciding to have an uncooperative day which in itself had me moving a little bit slower in the morning hours. My commute, while a little late getting started was normal but my time in the office was cut short as 45 minutes after getting situated at my desk I was back out the door, in the car, and heading off to a PACT luncheon in Philadelphia.

Even though it took me about 30 minutes to find a parking space at the Hyatt, the luncheon was nice event as I always enjoy spending time with my colleagues and friends outside of the office but it could have been better as I was not at the top of my networking game and I was having to send numerous emails from my iPhone for the majority of the event. As many of you know, just because I am away from my desk doesn’t mean I stop working. So, once the event ended, it was time to head back to the office for a couple of hours of serious multitasking of answering the emails that could wait, getting a few more things checked off my list, and pulling together the final items needed for the stated meeting.

At this point it was time to change, collect my stuff, get in the car, and head off to the lodge. While I got there in plenty of time (the first time I ran on schedule all day), I was a little surprised to see both the number of brothers in attendance as well as the District Deputy Grand Master there to attend our meeting. While I didn’t have a chance to partake in the excellent meal beforehand, I got everything prepared and made my way to the lodge room for the meeting. The meeting was a little longer than usual, especially with the lengthy notes that I had to read, but we were still able to finish up in a reasonable amount of time and officially go dark for the sweltering summer months (essential when you don’t have air conditioning).

Once all the checks were signed, the register updated, and bills paid it was finally time to head home. And while we may not be having stated meetings for the next couple of months, there are still plenty of things that I will be doing over the summer. Whether in PR or serving as Secretary, the work never stops even when you are away from your desk. But, at least for the day, the work was done and it was time to go home and recover.

Checking Things Off The Masonic List

There are times when I lose track of all the little things that I have to get done in a day. Hey, its what happens when there are so many things going on at the same time. With everything that has been going on lately, especially at the office, I have not been able to keep up with a lot of the things as Secretary of my lodge. Don’t get me wrong, what needs to be done gets done but just barely. Besides, I am not one to just do the minimum.

Even something as basic as keeping up with a few of the records has been put off for the past month and the notice and minutes for the meetings have been last minute scrambles, sometimes the day of the stated, as there always seems to be one project or another popping up and stealing the time away. It has been this constant running behind that has been grinding at me for months and keeping me from taking time to relax.

Today seemed a little different, almost like the air had changed and the inhale and exhale seemed slightly easier. While there is still plenty of work that needs to get done much of which will certainly bleed into the long weekend, the pace has been picking up and my focus has gotten a little sharper. Just enough to notice. Because of that internal and external environment, today I found myself finally having a few moments in the day to knock out some of the things that have been relegated to the background of my desktop.

It’s when I finally find the time for these tasks when I truly appreciate the work that I am a part of and the privilege that it is to be privy to the details of the lodge. It is also during these times when I realize that I have actually been accomplishing a lot even though there may be things here and there that are slightly behind. Being in the center of the lodge and the communication thereof, I can’t help but get things done and keep things moving.

When I see the number of items crossed off my Masonic checklist I feel a great sense of accomplishment but, at the same time, it makes me look forward to the slow months quickly approaching when the lodge is largely silent. We all need a break every now and then especially those who proudly serve in various roles at the lodge. It will be nice to take some additional time to catch up with some of my brothers without having to run back to my office to get something done. I am looking forward to this time off not from the lodge but from some of the routines of the month so that I can better appreciate the times of fellowship that are scheduled during the summer. Of course, I do have other things scheduled in the early part of the summer but you will just have to read about those later.

Double Duty

Last night I experienced a case of masonic split personality as we struggled to fill all the positions to get the degree work done. Oddly, it wasn’t that we were short on men present at the lodge as we saw plenty on hand during the sandwich bar before the meeting but we had a number of brothers that had to accompany candidates, serve as guides, and a couple that needed to sit on the sidelines and observe. So during a night when my role is relatively limited as Secretary, I was also called into service to sit in the chair of the Senior Deacon. For many of you this all seems like a foreign language but my fellow brothers know that by moving over a chair, I was now right in the middle of the degree work.

However, there were a few things that I still had to do as Secretary throughout the night as there were still communication from the Grand Lodge, a few notes that had to be taken, attendance that had to be checked, and the ledger had to be prepared for the new brothers to sign. Basically, the times when the Senior Deacon would normally be resting, I was shifting back to my desk to take care of all these things to ensure that they were not forgotten. The last thing I want to do is forget any of my primary duties. After all, that is the job I am expected to do.

There were still a few things that had to get done after the conferrals came to an end around 10:30 so it was back down to the basement office to take care of the book keeping, correspondences, and updating of Masonic records. Many of these things I usually start while at my desk during the meeting but on a double duty night they were obviously pushed back making the night a little bit longer. Fortunately for me, my assistant was there to give me a hand and the Treasurer has always been a great brother to work with as we both do our best to be efficient with our time when work needs to be done.

So, after a full day at the car dealer and office and pulling double duty at the lodge it was finally time for me to head back home and get some rest. Usually I am up for some time but when I made it home it didn’t take long to get from the apartment door to the bed. Thankfully, today was a relatively light day. Well, at least as uneventful as I could have hoped for which just means that it was really busy but without any major surprises. Most importantly, no double duty beyond my split time between my regular occupation and my lodge duties.

Short Month

Today was one of those days when I realized, “Crap! It’s a short month!” It is not about 30 days vs. 31 days, it is all about how the calendar is situated. As it turns out, the next stated meeting of my lodge falls on Thursday, May 1^st. What this means it that instead of having another week to pull the notice and minutes together, make calls, and coordinate a few other things, I have to get it all done this week. Translation, say goodbye to any breathing room during the work day and any chance of getting things done early.

In comparison, I am actually ahead of where I was last month but that early meeting day just threw everything off balance. Somehow, I think everything might come together just in time as a number of people got back to me today and a few of the other projects got checked off my to do list. But, at this point, it is still a matter of pulling those final things together and attempting to convey a sense of calm to the brethren as I jump from one thing to another. This is particularly challenging on stated meeting nights as there is, inevitably, someone who needs a document, card, signature, etc. at the last minute and it has to be done before the meeting.

Honestly, I can’t fault them. I have done the same thing in the past and, contrary to what some people might say, I knew exactly what I was getting into when I volunteered to become Secretary. And, really, it may be hectic and a bit stressful at times, but I enjoy knowing everything that is going on in the lodge (well, maybe not everything but almost everything). But, like the constant shuffle of the calendar, it is all about timing and how you manage that time. Lately, the management of that time has been a little off but I know that it will only get better from here as I learn more and figure out better ways of getting things done.

For now, I will continue scrambling knowing that there will be a slight respite this summer which should allow me to get caught up, step back, and figure a few more things out before heading into the final stretch in the fall. Until then I will continue trying to keep pace in this Masonic Marathon knowing that I can push through the wall. With that said, I am going to wrap this up and get back to work as a few things need to be wrapped up by the end of the day so that everything can stay on track despite the short month.

Celebrating My First Masonic Birthday

To be honest, I was dreading getting up this morning as I knew that there was a stated meeting tonight and I had a lot of work that still needed to be done before the lodge opened. That seems to have been the pattern of the past month, if you couldn’t tell already. It has been one thing after another which has been a mad scramble. I woke up this morning with the minutes from the previous meeting pressing down on my neck. Somehow, in the minutes and moments between emails ad projects at the office, I was able to piece together all that I needed for the evening.

With the work day behind me, I walked through the lodge doors ready to pull a few things together (basically organizing everything I needed for the meeting) before changing and resurfacing upstairs for some dinner. That was the plan. In reality, it only took a few seconds before I had brothers following me down the stairs and into the office. More so than in previous months, it was a constant fraternal ebb and flow for about an hour and a half before I rushed up the stairs, back down (because I forgot to take care of something in the chaos), and back up to the top floor to take my seat at my desk.

Having heeded the advice of the Grand Lodge, my duties have been streamlined during the meeting. Don’t worry, there are still plenty of other things to keep me busy. In fact, the number of petitions, involvement, and initiative that have already crossed my desk this year is a great sign of things to come and I hope that things continue to progress in the months and years to come.

The meeting progressed at usual with petitions read, and excellent presentation on “The Golden Fleece”, and some encouraging words from the District Deputy Grand Master during another unofficial visit. Toward the end of the meeting, as is done every month, those celebrating their Masonic birthday this month were asked to stand in the middle of the lodge to be recognized. For the first time, I was one of those brothers standing in the middle of the lodge celebrating my first Masonic birthday.

Immediately following the recognition of Masonic birthdays one of the Past Masters of the lodge took a moment to stand and commend me for already taking on the ‘hardest job’ in the lodge and within my first year as a Mason. It was with these comments that the entire lodge gave me a round of applause. While I am fine with the casual recognition that comes with a Masonic birthday or like recognition that every brother experience there are some moments that I really don’t feel I have deserved. I appreciate the kind words and undeserved praise, there are many others who do much more for their fellow brothers who should be applauded.

After the meeting it was time for a little more work in the office and, finally, after that a few moments to breath. But, the relaxation doesn’t last long as the month starts over again and preparations are made for the next meeting. This time, I need to make sure I have everything prepped early so I don’t fall behind again. In other words, time to get back to work.
