Some Meetings Sneak Up On You


As last week came to an end I finally got around to looking at the calendar for the following month. After filling in a few other plans I surveyed my schedule which is when I realized how quickly the next stated meeting was approaching… I really don’t like it when the stated meeting is on the first of the month. So, after a long summer respite, I found myself behind on preparations for the lodge. To say that I kicked things into overdrive would be an understatement as the notice was yet to be completed, the minutes were in shambles, and the bill summaries had yet to be completed.

Fortunately or unfortunately, I have been in this situation many times before and getting some of these things done quickly has become a somewhat regular occurrence. So, first thing on the list was to get the notice done. I know where to look for all of the information and the messages are pretty cut and dry so this was completed quickly.

Since there was little time to spare I had to forego my usual submission to Staples so the printer at the office was working overtime. Address labels were next which just take time even when working at a fast pace. Stuffing everything made for a long night but it was finally done. Of course, the completion of the notice also coincided with updating both online databases. Yes, we are still dealing with this issue.

The minutes and bill summaries are simply a matter of recording all of the notifications and occurrences which are then put into a specific format. While it takes a little time making sure that everything is done correctly, it is a rather painless process that can be accomplished quickly. By the time the weekend had descended upon us, all of the necessary items were either completed or updated. Last night, a few more updates were made and a call-em-all was scheduled. All caught up… for now.

Now it is simply a matter of pulling together the other materials that I need for the meeting and making sure that everything is ready and in order for when I have to speak to the brethren. All the petitions, communications, and various other pieces of paper are ready to go. All that remains is to reconnect with many of the brethren tomorrow night and beginning planning for the October stated meeting. After all, I don’t want to find myself in the same position next month!

Summer Preparations


Every once in a while there is an event that comes up during an unexpected time. While there are the unfortunately common times when a masonic funeral service must be arranged within a few days, there are also other, much more pleasant, events for which we must prepare. There have been way too many of the former but, thankfully, I have been able to focus on the latter this week as I did my best to assist with a district picnic scheduled for this weekend.

The casual family gathering was announced in June and we started the many conversations about some of the details that needed to be addressed by the announced date in August but it had been at least a month since any formative conversations had been started regarding the planning. That was until this week when I received a reminder about one of the things with which I was hoping to assist. Actually, the more accurate term would be coordinate.

While it was a bit of a rush to get everything ordered and confirmed, the t-shirts are currently in process and will be ready by the end of the week. Usually I am a little hesitant to make such a claim on a rush order but I know that my cousin will get it done, will get it done right, and will give us a tremendous price at the same time. After all, he has never faltered in the past and I have many brothers and clients that can attest to that fact as well.

Of course, trying to coordinate my own schedule is a completely different matter altogether. I continue to look forward to these kinds of events when I can bring my family and enjoy the time we all spend together. At the same time, there is little flexibility in our calendar and there have been numerous changes as of late that have put many commitments into question. I guess it may be time to pull out the gauge and, once again, measure my days.

It will certainly be interesting as the fall descends upon us and the calendar, once again, begins to fill with various commitments whether they be personal, family, work, lodge, or a myriad of other things. But, for now, it is time to continue preparing for what is my busy season but also my time to enjoy the constant rhythm of work flowing from the office to the lodge to home and beyond. It may be a little odd but keeping busy as the weather slowly cools is what relaxes me.

Final Month Of Preparations


It is always surprising how quickly the summer goes by and how short the respite is from many of the lodge duties that occupy the rest of the year. With less than a month to go before resuming our meetings, there is still a lot of work that needs to be done so that we can have a strong finish to the year. That being said, while the summer is usually a time for me to take a step back and relax for a few moments, I haven’t had the time to do so which makes this final month all that much more difficult.

This is the reality of the balance that we all must strive to achieve between our work, personal, and fraternal lives. While there is one part of me that wants to try and avoid some of the lodge duties for now while I try to catch up on personal and work matters, there is also a side of me that is looking forward to each and every activity, request, and email as they, for some odd reason, tend to balance out the chaos in other areas of life.

That is what we must remember and what many of us forget about the role that freemasonry plays in many of our lives. It is not just a means for fellowship and education, it is a way to bring structure, routine, and ritual to the hectic times in life. It is the regularity and measurements that it brings to our days that can sometimes be the most important role that our fraternity plays in our lives. And sometimes a part of that routine and regularity is the work that is required of officers.

With so much happening in my life right now there is an odd solace in the tasks that are asked of me as Secretary. I know what needs to be done and what projects, events, and meetings lie ahead. But I also know that there are going to be things that will come up now and again that I don’t expect. To believe otherwise would be a fallacy. I guess you could say that is what makes this routine unique and prevents monotony from setting in. So it is with this final month of the season that we prepare for the fall, enjoy the fellowship of our brothers, and return to the foundation of our work.

Fortunately And Unfortunately


Heading to the lodge this week I had a clear cut set of objectives that I needed to address with a number of the brothers who would be in attendance. There have been a few item that have come up over the last week that needed to be worked on immediately and a number of scheduling matters that had to be taken care of so nothing was overlooked heading into the summer. With these projects in place and the responsibilities coordinated, it would afford me the time to take care of a few other tasks so that we could have a clean slate after the stated meeting.

After sitting in an inordinate amount of traffic on my way down and saying goodnight to my son over the phone, I arrived at the lodge with a number of brothers already gathered around one of the dining tables taking care of business. Certainly a welcomed sight knowing all that needed to get done. While I did arrive a touch later than usual, by the time I set my bag down the necessary conversations had already begun. As soon as I sat at the table, I pulled out my laptop and we got to work.

Fortunately and unfortunately, some of the recent difficulties that we have faced earlier in the year have actually put us in a great position to fulfill some of the recent requests made of us by Grand Lodge. This is also why the work that we accomplished last night was quick and highly efficient. There are a few things that still need to be collected but we will certainly be able to submit all the necessary paperwork well before the 45 day deadline. It was actually rather surprised as well as appreciative and impressed by the organization demonstrated by the Trustees of the lodge. Everything was ready to go and transferred to me within minutes.

I had expected this first meeting to be much more drawn out than it was so all the other tasks for the night were handled in a much more casual and also thorough manner allowing me to check and double check regarding a variety of ongoing and new projects. By the time we locked the doors and headed back out to the parking lot I was feeling good about the upcoming meeting and looking forward to the long break over the summer. Hopefully, meetings like the ones I had tonight become more of the norm rather than the exception to the rule which has been the case in previous years.

Fun (And Food) For The Whole Family


There was a little bit of chaos for me leading up to the stated meeting as there usually is before an official district visitation. The usual list of items that need to be prepared before any meeting pretty much doubles in size and given that our lodge is on display to a lot of visitors I make sure to double check that everything is in place hoping that the one thing that I do forget can be overcome with relative ease. And this is something important for every officer to remember… you are going to forget things. The trick is to make sure that it is as insignificant as possible as to not disrupt the meeting itself.

The visitation this year was a little different than in previous years. For one, I was able to enjoy some time in the hall dining with the brethren and, in some instances, with their wives. That was a pretty significant change and one that I hope to see continued in the months and years to come. Not only were wives and families welcomed to join us, we were also treated to a delectable Brazilian dinner prepared by one of the wives (with a little assistance from her husband and Junior Warden). For me, on the top of that to do list was to make sure I thanked her for all of her hard work… something that I am glad that I remembered to do.

The meeting itself went very smoothly with only a minor mistake on my part that was easily rectified. It was also a very productive meeting as there were a number of projects that needed to be addressed and motions that needed to be made. Overall, especially given the last couple of months, it was a welcome respite from the week and a reinvigorating one at that. There is great progress that has been made, positive changes that are in the works, and important motions that have been passed.

When the meeting was over and all the bills were paid, I finally sat back to collect my thoughts for a few seconds before starting another conversation. In many ways, I can’t believe that this is already my third year as Secretary and the beginning of my forth year as a mason. It seems as though I was raised yesterday while, at the same time, I have been coming to lodge my whole life. It is really hard to put into words but something that motivates me to see the lodge succeed and to see new masons to succeed as well. And now, with the changes in process, it is something that I will be able to happily share with my family on a more regular basis… especially my son who I hope will join me at a meeting someday.

Another Season, Another Blood Drive


After a long week I left the house this morning with some trepidation. Our son still hasn’t completely recovered and his schedule has been off lately. And with him still on the mend, I knew that I wouldn’t have my family with me in Ardmore as I had been expecting when I originally organized the event. As I woke up early this morning, I knew that it was going to be a long day but I was also looking forward to reconnecting with a few of the brothers as we all converged upon the lodge for our spring Blood Drive.

Arriving at the lodge a few minutes later than expected (thanks to abnormal Saturday traffic), I didn’t waste any time in coordinating with the Red Cross drivers parked next to the building and immediately opened the doors, turned on the lights, and adjusted the heat. With these minor preparations out of the way, I finally turned around and assessed the space only to find that nothing was ready for the event. So the work continued and even though we had to spend an additional twenty or thirty minutes in setting up the space, everything was ready to go by the time our first appointment arrived at 10:00am.

As usual, the bulk of the appointments were at opposite ends of the day with morning schedules and late afternoon schedules proving to be the most flexible. By the time lunch came around, the steady flow of people had slowed to a trickle and we found ourselves falling well short of our goal for the day. In actuality, while not great our attendance was pretty good but we ran into a number of hiccups along the way as there was an unusually high number of people disqualified from donating (new travel restrictions in particular where not helping).  

The afternoon brought a welcomed flurry of activity both in donations and other brothers joining us for a couple of hours. In the end, while we only received 12 out of a possible 21 donations, it also provided many of us the opportunity to meet brothers whom we had not seen in some time, brothers from other lodges, and also members of the community and from the extended masonic family. It would have been nice to have held a successful blood drive but there was at least some good that came out of the event in the way of fellowship, sure up plans for other events, and gaining greater understanding of what we need to do next time around to far exceed the number of donations that we have received the last two events.

Unable To Commute To Lodge


While I usually am at the lodge on the Tuesday before a stated meeting, this month it was impossible to maintain that routine as I was in Atlanta for the first half of the week. However, unlike those nights of preparation in the past, it is a great feeling knowing that there really isn’t much that I have to concern myself with for Thursday night. The notice is out, the notes are typed, and all the documents, communications, petitions, etc. are neatly organized in my folder. The only thing that is lacking is the usual stack of bills that need to be read… this is an ongoing issue with the post office to which we are working on a solution.

This year, for the first time in a while, I have been consistently looking forward to being at the lodge. Of course, there are minor things here and there that still have to be worked out and the work load seems to be growing exponentially as of late but it is a different feeling at the meetings and there is a different overall demeanor to those in attendance. With many things smoothed out and petitions once again coming in, there is an optimism present that was hard to find at times in the past.

With next month being our official visitation, I am looking forward to welcoming the brethren from around the district to our lodge. We have made progress since the last substantial gathering and I am proud of the work that we have done to improve the lodge and the building. It really is a testament to those men that I am fortunate enough to call brother as there have been countless hours devoted to improving our small part of the fraternity. This is all due to the brothers who have taken on additional responsibilities and made the effort to thrive in their new roles.

Of course, this would not have been possible without those masons who have at time held the lodge together and in other periods, such as we are experiencing now, encouraged the growth of the lodge and the initiatives of motivated brothers. All of these brothers have made this a worry free business trip for me and I am thankful for this sense of freedom between meetings. I just hope that we can continue this growth and involvement not only this year but for years to come and but the looks of things that will be a reality, our new reality.

TMI Tuesday: More Presents!


Over the last couple of weeks my wife and I have been picking up supplies, coordinating food, and ordering a special cake (the product from the local Walmart was surprisingly good). It was all for a very special day and a memory that we wanted our son to carry with him in these early recollections of life. So, with the Mickey decorations strewn about the kitchen and lining the driveway, this past weekend we had a very small gathering at our home to celebrate our son’s birthday (even though we think the calendar is lying to us). It was a great, low key, get together which actually required less preparation and clean up than my wife and I were expecting.

While he is now playing shy around most people now, it was great seeing him play and watching his face light up when a present piqued his interest. After lunch and presents it was time for cake and while most kids would love to smash the heck out of the confection and get icing on their face, our son wanted nothing to do with this and was displeased when the blue icing founds its way to his face (with a little assistance… and no it wasn’t me). After that it was just about time to pass out for the afternoon and to recover from the mid-day activities.

In the few days since this gathering we did our best to continue making this a special time for our son. In addition to the plethora of presents that were brought or sent to the house, we have continued to celebrate his birth and giving him a little more leeway regarding play and television time… Mickey is just as entertaining the second, third, and forth times on the loop. However, with so much activity and simulation (plus some intense teething), his schedule is a little off and, when playing, he sometimes has trouble deciding what new toy to play with. While we originally put his other toys away before the party as a means of keeping things clean, it has actually served us well as there is now a whole new host of toys at his disposal.  

It has been a great couple of days celebrating our son’s birthday and I am glad that we spread the distraction over the entire weekend. Even though there have been moments of readjustment after so many days following an alternate routine, it has been well worth the effort and few hiccups along the way. I guess you could mark this down as another first experience of parenthood… the birthday party hangover.

Not The Numbers We Were Expecting


When I pulled into the parking lot next to the lodge this morning it was difficult to find a spot. The unusually warm December day had everyone out early trying to take advantage of the weather while they finished up their holiday shopping. While there were plenty of people walking up and down the streets and the roads were packed with cars, I knew it would be difficult drawing foot traffic into the lodge of our year end blood drive. Of course, this is also why we had originally planned on holding the drive in October.

When I walked through the doors it was a bit odd as the temperature outside was warmer than the main hall where the tables were being set up. That was a separate issue which we resolved as the day went on. Even though we got a slightly later start in setting up than we expected, by the time the first donor walked through the door everything was in place and there was no delay in getting things going.

The first hour or so was busy. We had a good flow of people coming through the door and I was excited to see so many people taking the time during this busy season to give something of themselves to help others. Before I knew it, I was the next person laying on the table with a long tube dangling from my arm. While I have given blood many times before, this was the first time that I was doing the double red donation. Turns out that they really like my blood type and everything seemed to check out beforehand so why not. In the end, it really didn’t feel any different from a regular donation just a slightly longer time relaxing on the table.

By the time lunch rolled around the steady flow was down to a sputtering trickle and the total numbers for the day were not looking very good especially when factoring in the three or four people that were deemed ineligible to donate. When all was said and done and the tables were being broken down and hauled back out to the truck I was disappointed to say the least. It turns out that we had every possible scenario work against us from weather and holidays to ineligibility and other unavoidable occurrences preventing people from donating. However, while the numbers were not what we wanted, I know that we made a small difference and help those in need and that is really what matters at the end of the day.

Party Fallout And Leftovers

Friday morning we all got to the office a little later than usual. At least most of us as there were a couple that never made it in the door. It was a great party the night before but we were all a little tired (to say the least) from the long day out. It seemed to be a day when tasks took a little longer to complete and time just seemed to move a little slower than the previous day.

It didn’t take long before we all started looking at the clock trying to figure out when we would be able to pack up our things and head out the door for the much needed weekend. At the same time, many of us didn’t want to begin the trek home too soon as the rush hour traffic was a little off due to the deluge of children itching to take to the neighborhoods. Needless to say, I decided to stay a little longer than usual to make sure that I would be able to relax over the weekend without a mountain of projects hanging over me.

While the mountain still had a fairly substantial summit by the time I left, I was able to take care of all the things that were pushed back from the previous day due to the party prep and commute. With all the extra things swirling around us on Thursday, we all stumbled into the office in the morning with a growing list of things that we needed to accomplish right away or else our entire week would have been derailed. We all put our heads down and took care of what needed to be done but the list inevitably flowed right past the end of the day and into the weekend.

Knowing the day and the week that had just come to a prolonged end, it was not a surprise that I was the last one to get up from my desk, start the dishwasher, and make my way out to the barren parking lot. Now, with the weekend concluding, I am nearly up to date with everything that has to be done. I will still have to put things in overdrive in the morning to get caught up but I should be able to get back to even by the middle of the week… well, I hope that is the case. I guess we will have to wait and see and hope that all the other events this coming week done impede me as much as last week did. Anyway, back to the beginning of the week and another growing mount of projects.

However, there was leftover jars of cake which made my wife happy (at least for a minute or two)!

Celebrating My First Masonic Birthday

To be honest, I was dreading getting up this morning as I knew that there was a stated meeting tonight and I had a lot of work that still needed to be done before the lodge opened. That seems to have been the pattern of the past month, if you couldn’t tell already. It has been one thing after another which has been a mad scramble. I woke up this morning with the minutes from the previous meeting pressing down on my neck. Somehow, in the minutes and moments between emails ad projects at the office, I was able to piece together all that I needed for the evening.

With the work day behind me, I walked through the lodge doors ready to pull a few things together (basically organizing everything I needed for the meeting) before changing and resurfacing upstairs for some dinner. That was the plan. In reality, it only took a few seconds before I had brothers following me down the stairs and into the office. More so than in previous months, it was a constant fraternal ebb and flow for about an hour and a half before I rushed up the stairs, back down (because I forgot to take care of something in the chaos), and back up to the top floor to take my seat at my desk.

Having heeded the advice of the Grand Lodge, my duties have been streamlined during the meeting. Don’t worry, there are still plenty of other things to keep me busy. In fact, the number of petitions, involvement, and initiative that have already crossed my desk this year is a great sign of things to come and I hope that things continue to progress in the months and years to come.

The meeting progressed at usual with petitions read, and excellent presentation on “The Golden Fleece”, and some encouraging words from the District Deputy Grand Master during another unofficial visit. Toward the end of the meeting, as is done every month, those celebrating their Masonic birthday this month were asked to stand in the middle of the lodge to be recognized. For the first time, I was one of those brothers standing in the middle of the lodge celebrating my first Masonic birthday.

Immediately following the recognition of Masonic birthdays one of the Past Masters of the lodge took a moment to stand and commend me for already taking on the ‘hardest job’ in the lodge and within my first year as a Mason. It was with these comments that the entire lodge gave me a round of applause. While I am fine with the casual recognition that comes with a Masonic birthday or like recognition that every brother experience there are some moments that I really don’t feel I have deserved. I appreciate the kind words and undeserved praise, there are many others who do much more for their fellow brothers who should be applauded.

After the meeting it was time for a little more work in the office and, finally, after that a few moments to breath. But, the relaxation doesn’t last long as the month starts over again and preparations are made for the next meeting. This time, I need to make sure I have everything prepped early so I don’t fall behind again. In other words, time to get back to work.

Where Am I Going Now?

Today was one where I struggled to stay on schedule. While my flight wasn’t scheduled until 2:15 pm, there were a lot of things that needed to be done before I could head out the door. I stayed up late last night in the hope that I could get everything done but I kind of knew going into it that it was more of a hope than a reality. So, half conscious, I got myself out of bed in the mid-morning and immediately started to get a number of pushed back projects done.

I am always slightly surprised at how quickly I am able to pack my ravel bag. It does help that I have gotten myself into the habit of only taking a carry on and my work bag with me but it doesn’t prevent me from trying to pack as much as I can into these two pieces of travel gear. While I was getting my clothes together and pairing down the overflow of paper in my daily work bag, my wife was busy in the office. She wasn’t working on any of her projects, rather she was making the copies of the briefing book that would be needed at my final destination.

We got out the door slightly behind schedule but still within a reasonable timeframe. Even though we spent the entire trek to the airport dodging potholes (at least most of them) and dealing with the countless drivers lacking in common sense, I was still getting out of the car at the US Airways terminal with about an hour and a half before takeoff. Thankfully the kiosk and security were nearly deserted and I was able to make it to the departure gate in a record 15 minutes.

Boarding was uneventful, even with my colleague having to backtrack in the airport to find her forgotten coat, and I was able to find room for my bags, take my seat, and prepare for one of my least favorite activities. While the line waiting to get on the runway resembled the traffic commonly found on the Schuylkill Expressway, we were up in the air in no time or that is what is seemed like as time seems to go by rather quickly when I am chatting up my fellow passengers.

There was a little turbulence in the air but, for the most part, I slept through much of the flight. Unfortunately, my neck and shoulders reminded me later of the fact that I had slept on a plane. Our arrival at the gate was delayed slightly by the refusal to push back by a departing flight but at this point he flying part was over and I was again talking with everyone around me. Once we got off the plane, we immediately headed to baggage claim (not everyone sticks to carry-ons), hopped in a cab, and headed downtown.

What was anticipated to be sunny and warm was anything but pleasant upon our arrival with the building disappearing in the sky. After checking in, grabbing our first meal of the day, and a quick meeting it was time to head to the room to get a few last minute things done and rest for the hectic week ahead. All the preparations now complete, the week was ready to begin. Here we go!

A Final Request

On Thursday, in the middle of the push to finish up my week early, I got a call on my cell that I wasn’t expecting. Many times, I have simply get my phone ring when I am in the middle of multiple projects but, for some reason, I picked up the phone this time and answered completely expecting it to be work related. To a certain extent, it was but, at the same time, it really wasn’t.

There are many aspects of the Secretary job that I was fully aware of and have been working on since I took over in late December but there are other aspects that I knew were a possibility but they were kind of pushed to the back of my mind with the hope that they wouldn’t become reality. It was a long shot but I was hopeful. Understand that this unwanted responsibility was not because I was unwilling to work or take on the duties that it entailed, it was because I didn’t want to acknowledge the reality of this part of the job.

When I answered the phone the voice on the other line gave me his name, which I didn’t recognize, and then told me from where he was calling from, which told me everything that I needed to know. The funeral director then went into the details. He informed me of which brother had passed away, the request from the family for a Masonic funeral service, and the current details of the funeral scheduled for Monday.

With details in hand and all the questions I had answered, it was time to make the rounds. Slowly moving from one brother to another, I informed all the members of the lodge that needed to be informed of the details in order to organize the service. Once everything was in motion, I sent a notification to all the brothers via email. While my time was limited this weekend, I was still able to set aside the necessary block in my schedule to get to the lodge, prepare everything needed for the service, and drop those items off at the funeral home.

It wasn’t the easiest weekend to make the time but, in these instances, you have to keep in mind that this is the last request that a brother can make of his brethren. This is one of those times when we all must come together and do what we can to make sure that our brother’s request is fulfilled. While this is may be the worst part of my job this is also the one I take the greatest pride and care in making sure it is seen through. After all, I would want the same thing done for me.
